These Terms of Use ("Terms") govern access to websites, applications, and digital services provided by SOATERA LLC ("SOATERA," "we," "us," or "our"), including SOATERA Event Passport.
By accessing or using a SOATERA service, you agree to these Terms. If you do not agree, do not use the service.
1. Acceptance
You must be able to form a binding agreement. If you use a SOATERA service on behalf of an organization, you represent that you have authority to bind that organization.
2. Event-platform purpose
SOATERA Event Passport is a reusable event companion. It may provide published event information, optional Passport participation, secure check-in, volunteer tools, and other event-specific capabilities when an organizer has enabled them.
The app is not limited to a single festival or client. Event names, branding, schedules, and enabled features are configuration for that event. A feature described in these Terms may be unavailable for a given event.
3. Accounts and OTP access
Some features require an account. Event Passport uses email and a one-time passcode (OTP). There is no password and no social-login requirement in the current product.
You are responsible for the email address you use, for keeping OTP codes confidential, and for activity on your account. Tell us if you believe someone used your account without permission.
Signing in authenticates you. It does not, by itself, grant volunteer, staff, or administrative rights.
4. Authorized volunteer and staff access
Volunteer and staff tools are assigned for a specific event by an authorized operator. You may use those tools only if you have been assigned access for that event, only for legitimate event operations, and only as instructed by the organizer.
You may not attempt to obtain volunteer access for yourself, share assigned access, or use scanning tools for a different event or purpose.
5. Acceptable use
You may use SOATERA services only for lawful purposes. You may not:
- interfere with or disrupt a service, event, or other users;
- attempt unauthorized access to systems, accounts, credentials, or data;
- probe, scrape, or enumerate participant, volunteer, or organizer records;
- introduce malware or harmful code;
- impersonate another person or misrepresent your role at an event;
- bypass security, rate limits, or role restrictions; or
- copy, reverse engineer, or exploit the software except where permitted by law or expressly authorized by SOATERA.
6. QR credentials
Participant QR credentials, Passport stop codes, and related tokens are operational credentials for an event. They are not tickets for sale, not public identifiers to be republished, and not a grant of volunteer authority.
Do not copy, share, forge, photograph-for-republication, or attempt to reuse another person's credential except as the event organizer expressly allows (for example a household credential the organizer issued).
7. Event information accuracy
Event schedules, maps, vendor listings, branding, and similar content are supplied or configured for a specific event. SOATERA does not guarantee that published event information is complete, current, or error-free. Confirm critical details with the event organizer when needed.
8. Event organizer responsibility
Organizations that use SOATERA Event Passport remain responsible for their event: eligibility, on-site operations, participant communications they originate, volunteer instructions, and any event-specific rules. If an organizer's written agreement with SOATERA conflicts with these general Terms for that engagement, the written agreement controls for that engagement.
9. Points, challenges, and giveaways
When enabled, points and challenges are event-engagement features. They have no cash or other monetary value unless an event's own official rules expressly say otherwise. Points are not a payment method and are not generally transferable.
Giveaways, if enabled for an event, are governed by that event's official rules. These Terms are not official giveaway rules and do not create a prize entitlement.
No purchase is required to participate in Passport features merely by using the app.
10. Availability and changes
We may modify, suspend, or discontinue features when reasonably necessary, including for maintenance, security, or event configuration changes. We do not guarantee uninterrupted or error-free availability.
11. Intellectual property
Unless otherwise indicated, SOATERA owns or licenses the software, designs, trademarks, and other materials we provide. Event organizers may own their logos, names, and event content. These Terms do not transfer ownership of SOATERA or organizer intellectual property to you. You may not use SOATERA branding except as needed to use the service or as we expressly allow.
12. Privacy
Use of SOATERA services is also subject to our Privacy Policy.
13. Disclaimer
To the extent permitted by law, SOATERA services are provided "as is" and "as available." We do not warrant that services will be uninterrupted, error-free, or fit for a particular purpose. Event outcomes, attendance, prize fulfillment, and on-site operations remain the organizer's responsibility except where a separate written agreement says otherwise.
14. Limitation of liability
To the maximum extent permitted by applicable law, SOATERA will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, or goodwill, arising from use of or inability to use the services.
Nothing in these Terms excludes liability that cannot legally be excluded.
15. Termination and access restriction
You may stop using the services at any time. SOATERA or an event organizer may restrict or revoke access when reasonably necessary because of misuse, security concerns, violation of these Terms, legal requirements, or the end of an event or service.
Revoking volunteer authorization does not necessarily delete your sign-in account. Ending an event does not automatically erase operational records we may need to retain.
16. Changes to these Terms
We may update these Terms. The revised Terms will be posted on this page with an updated date. Continued use after the update constitutes acceptance, except where applicable law requires otherwise.
